Xero exports invoices to a CSV file rather than a native Excel file, and that CSV opens straight in Excel. Open the Business menu, select Invoices, pick the tab you want, use Search to filter by date or status, then click Export. Most people expect a one-click button to send a single invoice to Excel. Xero works a little differently. How to export sales invoices from Xero to Excel
The CSV that Xero produces opens directly in Excel, so this is the route most bookkeepers use for sales invoices.
- In the Business menu, select Invoices.
- Select the invoice tab you want to export, for example All, Awaiting Payment, or Paid.
- (Optional) Click Search and set a Start date, End date or date type to narrow the list, or filter by status.
- Click Export. Xero downloads a CSV file containing those invoices.
- Open the CSV in Excel. If commas or accented names break the columns, use Data > From Text/CSV and set the delimiter and encoding by hand.
Each transaction line item shows on its own row, so a three-line invoice produces three rows that share the same invoice number, contact and date. That is deliberate: the layout matches Xero's own import template, so the file can be reimported later. One caveat on permissions: a user with an invoice-only role can run the export, but some fields such as contact address details come back blank.
How to export bills (purchase invoices) from Xero
Exporting the bills you owe to suppliers follows almost the same path, just from the payables side.
- In the Business menu, select Bills to pay.
- Next to New Bill, click the menu icon (the three dots).
- Select Export bills.
- Check that the details are correct, then click Export. Xero downloads the CSV to your computer.
The same 500-transaction limit applies, so if you are pulling a busy quarter of vendor bills, filter by date first or export in batches.
How to export Xero invoices with line items
The plain invoice export already puts each line on its own row, but it leaves out account codes and some customer detail. For a complete line-by-line spreadsheet you use a report instead.
- In the Reporting menu, select All reports.
- Open the Receivable Invoice Detail report for sales, or the Payable Invoice Detail report for bills.
- Set a date range, or click the arrow next to the date to choose a set reporting period.
- Click Export and choose the spreadsheet format.
You need the advisor, standard plus reports, or read-only user role to open these reports. The Receivable Invoice Detail report shows every sales invoice, credit note and overpayment line by line, which is the format you want for analysis or for moving the data into another system. Reports also sidestep the hard 500-row cap, so a date-bounded report export is usually faster for a full year of history.
Can you export a single invoice from Xero to Excel?
No. Xero has no button to send one invoice straight to Excel. To get a single invoice out, open it and print or save it as a PDF, or export the full list as a CSV and delete the rows you do not need. If you specifically need that one invoice as structured spreadsheet data, the fastest path is to run the PDF through an OCR converter, which reads the fields back into clean columns.
How do I export all invoices from Xero at once?
Go to Business > Invoices, leave the tab on All (or filter by date), and click Export to download every matching invoice as one CSV, up to 500 at a time.
