Refund Policy

Effective October 14, 2026

Every invoice you upload to InvoicesOCR is processed straight away, and that processing costs us money from the first page. That is why a charge for a plan stays with us once it is taken, apart from the three cases in section 2. Below you will also find how renewal works, how to cancel, and what to do about a charge you do not recognise.

1. Reasons the fee is not returned

  • A total, VAT line, invoice number or supplier name was extracted wrongly. Results are automated, so check them before they go into your ledger.
  • The upload was a faint scan, handwritten, locked with a password, damaged, or not an invoice at all.
  • Pages were already processed, even if you deleted the files later.
  • Fewer invoices than your allowance, or none, went through during a paid period.
  • Your bookkeeping process changed, or the team moved to different accounting software.
  • The plan renewed because nobody cancelled before the renewal date, or someone cancelled just afterwards.
  • A renewal went through on a retry after the first attempt was declined.
  • You expected to pay once; the pricing section, checkout and receipt email all show that plans renew.
  • Your invoice volume would have fitted a smaller plan, or you picked yearly billing when you meant monthly.
  • An export format or feature you wanted is not listed for your plan.
  • Time remains in the period after cancelling. Your access lasts until the period ends, with nothing pro-rated.
  • A colleague or anyone else you gave your login to used the account.

2. Three cases where money comes back

These are the only ones. Each must be supported by our records and the transaction record, and the refund never exceeds the charge involved.

  • Double billing. One period was paid for twice because of a fault in our billing.
  • A charge you did not approve. Your card was used without consent, you report it no later than 14 days after the charge, and the records match your account. We do not take a claim as proof by itself and may ask you to confirm that the card issuer knows about the misuse.
  • No extraction possible at all. Uploads could not be processed and nothing could be exported for an unbroken stretch, because of a fault we confirm is ours. You reported it during that stretch and we could not repair it. Slower processing, one export format failing, or trouble with your own computer or connection is not enough.

A granted refund is paid only to the card that was charged, is capped at what the affected period cost, and fully ends our liability for that charge. It does not lead to any further refund.

3. Plans and billing periods

Starter, Pro and Enterprise are billed in advance, monthly or yearly. At the start of every period you get the plan's monthly page allowance, export formats and other features in full. You are paying for that period of access, not per page processed, so the fee is earned as soon as the period begins and pages you did not use are not turned into credit or cash. The pricing section shows what each plan contains before you pay.

4. Requesting money back

Our billing inbox is [email protected]. Write from the InvoicesOCR login email while the charge is at most 14 days old. Mention the charge date and amount and which case in section 2 applies. We cannot consider requests that come later or from another address, and once we have answered a request it is not reopened.

Talk to us before the bank does. Disputing an InvoicesOCR charge with the bank before emailing us violates our Terms of Service and results in the account being closed permanently.

5. Cancelling, renewal and card retries

Cancel at any time from the billing area of your account; there is no need to write to us. Later renewals stop at once, and the plan keeps working until the paid period ends. Cancelling is separate from requesting a refund.

Until cancelled, a plan renews automatically. Each period begins with your new page allowance and the fee for it falls due. A bounced card does not wipe the bill: the open invoice waits, and our payment operator has another go at it on the days that follow, never stacking a new charge on top. Hitting cancel during that waiting time switches off renewals further ahead, while the open invoice for the running period still has to be settled. The renewal date sits in your account; cancelling before it is how you avoid the next period.

6. Processing starts when you pay

Subscribing asks us to make the service available at once. If you would otherwise have a statutory right to withdraw or a cooling-off period, you accept that it ends as soon as the service is available to you.

7. What our records show

Checkout lists the plan, price, billing period and automatic renewal before payment, and the receipt email and your account show the same. Signing up for InvoicesOCR binds you to our Terms of Service, which take in this refund page, along with our Privacy Policy.

For each subscription we hold the purchase time, the plan and price at checkout, your acceptance of the terms, every email and renewal notice sent to you, and an account log of sign-ins, uploads, processed pages and downloaded exports. The payment operator holds a separate transaction record noting the card's issuing country, the location the payment came from and the 3D Secure outcome. Claims are assessed against these records, which we also give to your bank in a chargeback.

8. Subscriptions bought earlier

Plans started before October 14, 2026 run out their present period under whatever terms were published when they were bought.
