QuickBooks does not let you export a single invoice straight to Excel. Instead, you run an invoice report and export the whole list. In QuickBooks Online, open the Invoice List report, set your date range, then choose Export to Excel. In QuickBooks Desktop, open the report and use the Excel dropdown to send it to a worksheet. The catch most people hit: the standard invoice list drops the line items, so to keep product and service detail you export the Sales by Customer Detail report filtered to invoices instead.

How to export invoices from QuickBooks Online to Excel
QuickBooks Online exports a report of invoices, not a single document. The fastest route is the built in Invoice List report.
- In the left menu, select Reports.
- In the search box, type Invoice List, then open the report when it appears.
- Click Filter or Customize to set the date range, a specific customer, or the invoice status you want.
- Select the Export/Print dropdown in the upper right of the report.
- Choose Export to Excel. The .xlsx file downloads to your computer.
- Open the file. If the columns look empty, click Enable Editing to leave Excel's Protected View and reveal the full report.
If you would rather start from the sales screen, hover over Sales, click All Sales, change the type to Invoices, set your dates, then export. You get the same list either way.
How to export invoices from QuickBooks Desktop to Excel
QuickBooks Desktop sends reports to Excel through an Excel dropdown built into the report toolbar, which gives you a bit more control over formatting.
- Open QuickBooks Desktop and go to the Reports menu.
- Type Invoice List in the search box and press Enter, or open the Reports Center and double click the report you want.
- Set the Report period (date range) and any filters such as customer or item.
- Select the Excel dropdown at the top of the report.
- Choose Create New Worksheet to open a fresh workbook, or Update Existing Worksheet to refresh a file you already built.
- If you see a message that the report has too many columns, click Advanced, uncheck Space between columns, then click OK.
- Click OK or Export to send the report into Excel.
The workbook opens in Excel 2016 or later, Mac Office 365, or Apple Numbers 3.5 and up. Once it is open you can sort, filter, and build PivotTables on the data like any other spreadsheet.
How to export invoices with line items to Excel
This is the part that trips up most people. The standard invoice list shows one row per invoice with the total only, not the individual products or services on each line. To get every line, switch reports.
- Go to Reports and open Sales by Customer Detail.
- Click Filter, set Transaction Type equals Invoice, then run the report.
- Adjust the date range and the columns so you can see product or service, quantity, rate, and amount.
- Select Export to Excel (Online) or the Excel dropdown (Desktop).
You now have the invoice header data plus every line item in one spreadsheet, which is what most people actually mean when they ask to export their invoices. If you only need totals by customer or by month, the plain Invoice List report is lighter and faster.
Getting PDF and scanned invoices into Excel
Exporting works when an invoice already lives inside QuickBooks. The harder problem is the stack of vendor invoices that arrive as PDFs, email attachments, or paper scans and were never entered. Can I export an invoice to Excel from QuickBooks?
Not a single invoice on its own.
